THE IT MGMT PERSPECTIVE

HIPAA Compliance

For a healthcare office, start by locating electronic protected health information and understanding who can reach it. This collection separates that planning work from general security advice and software demonstrations.

Start with the information, then the safeguards

For organizations subject to the HIPAA Security Rule, a technology checklist is only one part of the work. Begin with a documented view of where electronic protected health information (ePHI) is created, received, maintained or transmitted, including relevant systems outside the main office.

  1. Understand the IT questions: use HIPAA security and IT planning for healthcare offices to prepare a discussion about systems, access, recovery and responsible people.
  2. Organize the evidence: the Vanta and IT MGMT workflow guide explains an evidence-management approach. Software can help organize work; using it does not establish compliance.

Bring these four items to the planning meeting

  • An inventory of relevant applications, devices, storage locations and service providers.
  • The people responsible for approving access and reviewing changes.
  • Known risks, existing safeguards and evidence of how those safeguards operate.
  • Open questions with an owner and a next review date, including vendor and business-associate responsibilities where applicable.

Use the current HHS risk-analysis guidance as the primary reference. It addresses the scope of ePHI and assessment of risks and vulnerabilities. This reading path is not a completed risk analysis, legal determination or certification.

IT MGMT can help with the technical assessment and agreed improvements through cybersecurity services. Discuss your office’s IT scope; keep compliance determinations with the organization’s responsible advisers. Do not send patient records through a general inquiry form.
