Switching IT Providers: Onboarding & Ownership

A change of IT provider should come with a plan. Here is how we organize the handoff, what to gather and what remains yours.

Before you choose a provider

Start with the gaps in the current service and the work your business cannot afford to lose. Compare responsibility, coverage and exclusions alongside price.

  • Who owns the domains, cloud tenants and administrative accounts?
  • Which users, devices, servers and locations are covered?
  • How do first response and resolution differ? What happens after hours?
  • Who owns backups, checks failures and authorizes a restore?
  • Which work, licenses, equipment and onsite visits cost extra?
  • What are the agreement term, payment schedule and handoff requirements?

Most onboarding takes approximately 1–3 weeks

The timeframe depends on the environment’s size, complexity, access and vendor cooperation. We coordinate directly with the outgoing provider so you do not have to carry technical messages between teams.

  1. Gather and document. Administrative access, licenses, network details, configurations, vendors and existing responsibilities.
  2. Review the environment. Microsoft 365 or Google Workspace, computers, servers, network equipment, Wi-Fi, firewalls, backups and critical applications.
  3. Secure the handoff. Review former-provider accounts, unnecessary privileges, credential storage and MFA. Remove or update access where appropriate.
  4. Deploy and verify. Set up management, monitoring, patching and security tools on covered devices. Confirm the team can support the environment.
  5. Introduce support. Give employees clear instructions, our office number and their dedicated representative’s direct number.

Your transition checklist

Bring this list to the handoff meeting. Assign an owner and status to each item; an unknown is something to investigate, not a reason to guess.

  • Domain registrar and DNS ownership; secure transfer of authorized access.
  • Cloud tenant ownership, users, administrator roles and recovery contacts.
  • Devices, servers, network diagram and supported sites.
  • Software licenses, renewals, vendor contacts and service agreements.
  • Backed-up data, retention, alerts, restore authority and recovery verification.
  • Tool replacement order and the owner of any security or monitoring gap.
  • Approved change windows, rollback responsibilities and employee communication.
  • Final access checks, documentation and named support contacts.

Transfer credentials through an agreed secure process, not through a public booking form.

Three-year Business IT agreement. Your choice of billing.

Business IT has a three-year service agreement, with monthly or annual billing chosen by the client. Annual billing means one scheduled bill per year. Choosing monthly payments does not shorten the agreement to one month.

Your quote identifies covered people, devices, locations and services. Onsite support is billed separately unless specifically included in your plan. Equipment, licensing, migrations and development projects are scoped before work begins.

If you later leave IT MGMT

Your business remains yours. Client-owned domains, email tenants, accounts, data, licenses and systems stay with you. We provide relevant administrative access and documentation, and can coordinate directly with your incoming provider.

For client-owned domains, we transfer the access needed to manage DNS and related services. If ownership lies elsewhere, we help establish a migration path with the relevant owner or provider. Microsoft 365 and Google Workspace organizations retain their users, email, files and business data.

We identify IT MGMT-owned, leased or loaned equipment separately. Unless you have purchased it, it remains subject to the applicable equipment agreement. Provider-licensed remote management, monitoring and security tools may be removed or discontinued at the end of service. Your own licenses remain yours.

The handoff identifies what transfers, what is returned or removed and who takes over protection and support. The signed agreement still governs billing and termination.
